THE SECTION ANNUAL GENERAL MEETING AND CHRISTMAS LUNCH
Sunday 2 December 2012 at the Chichester Park Hotel, Chichester
Ted 'Elvis' Meachem   One hundred and twenty-one members booked in for the day which started off with a greeting from the 'King' followed by coffee/tea and hot mince pies.

The formal meeting started just after 11.30am and after welcoming everybody Chairman David Gray asked the MC representative, Duncan Feetham, to present twenty-year long service badges to Bill Bradford and Clive White.

The Secretary then read out a long list of 'Apologies for Absence' from members unable to attend including one from Sheila Hurrell who had advised that her husband Derrick had passed away the previous Wednesday.

The Secretary said that the minutes of the 2011 AGM had been circulated and asked if it was the meeting's wish that the Chairman should sign these as being a true record. The meeting agreed and the minutes were duly signed. There were no matters arising.

Chairman David reported briefly on each of the events (and their BW's) held during the year. He thanked all the committee for their support in running the events and thanked the members for their support in attending the events.


Secretary Ted began his report with a 'Bless my Sole', and went on to explain the cunning code used to thwart the alphabetical listing by the computer. He gave out the generous total of 2013 Section contributions to date, congratulated our webmaster and announced that there had been three new nominations to the Committee. The draft programme for 2013 had been distributed to the meeting and he mentioned the forthcoming participation in the Southampton Docks celebration, the South of England Rally at Cranleigh School and the Section Annual Rally to Brittany. He thanked the BW's and the other 'unsung heroes' for their input, and asked for any topics that members would like discussed at next year's Conference.

Treasurer Andrew Honour confirmed that the published Section draft accounts had been examined and approved (by Michael Marriage for the last time this year). He said that the figures showed a tiny loss because we had purchased a large number of postage stamps at pre increase prices. The overall finances were very healthy and Contributions for 2012 had been a record.

There were no questions from the floor. Rodney Marples proposed that the accounts be adopted and Clive White seconded the motion. Carried nem con. The appointment of the new Examiner, Nigel Bulpitt, was proposed by Chris Tween and seconded by Tony Leach. Carried nem con.

Simon Buck and Andrew Honour were not standing for re-election this year. In recognition of their long service on the committee and for Andrew as Treasurer, they were presented with an engraved cut glass carafe, personalised wine glasses and matching wine glasses.

Darren Collins, David Gray, Tony Leach, Ted Meachem, Maurice Pitchford, Ray Thatcher and Chris Tween had signified their willingness to stand for re-election to the Committee. Additionally, Peter Allchurch, Robin Brailey and John Forrest had been nominated and agreed to stand for election. In the absence of any other nominations the Chairman asked if all those standing could be elected en bloc. Proposed by Simon Buck, seconded by John Bray. Carried nem con.

The draft programme for 2013 had been distributed to the meeting. BW David Gray announced the number of bookings, to date, for the six night Brittany Rally and asked Maurice Pitchford to say a few words on the chosen hotel.

After closing the formal meeting at 12.25pm the Chairman asked Duncan Feetham, to say a few words.

Duncan said that he was glad to be amongst 'wonderful friends'. He reported that the Hunt House lease had been settled and that despite the bad weather at the Annual Rally, turnout was good and H&H Auctions had offered much better rates. Motor car records were being digitised (maybe one million pieces of paper) and with the Club's finances being very sound the Subscription figure was being held (lower than other clubs). The Year book would produce £85,000 this year and a contract signed for £100,000 for each of the next three years. There were still places available for this year's Book launch. The excellent Club stand at the NEC signed up fifty-one new members this year. Membership numbers, year on year were 100 up. A DVD of the Hunt House/Club had been distributed to all members. Election of Directors of the SHRMF had been held this last week.

David Gray thanked Duncan for speaking and asked if there were any questions from the floor.


Question Reply
Tony Leach asked if the Club should have one million pounds in the funds. Good to have a 'buffer' against unforeseen circumstances and substantial funds in case of a (Section) default.
Simon Buck asked why the Club needed more space. The Hunt House was currently bursting with all the records/archives. Also a bigger workshop and classroom was thought to be needed.
Clive White asked if it was possible to develop/enlarge the site. Current site 'land locked', adjacent field unlikely to be sold by wealthy owner. Maybe possible to purchase local/adjacent house.
Maurice Pitchford asked about retaining Euros on the Continent to save FX costs for Continental rallies. MC member Michael t'Kint was looking into FX but is now not standing for re-election to MC.
John Goldstein asked if the Club still had the same solicitors. Yes but the SHRMF had changed their solicitors.

The Chairman and Secretary asked members to vacate the room to allow the staff to set up the dining tables and to collect their Menu choice cards, printed by the hotel, from the Reception hall

The newly elected committee posed for a magazine photograph. After drinks in the bar, members sat down to the usual traditional Christmas lunch (or variations of) efficiently served by the hotel staff. The general impression was that the meal was excellent and the best to date. Many members congratulated committee members on an all-round splendid day.

At a short meeting of the new committee David Gray and Ted Meachem were re-elected respectively Chairman and Secretary. Tony Leach was elected Treasurer.
